You are invited to exhibit your company’s products and services at this year’s Texas FFA Convention and VATAT Professional Development Conference. Please review the exhibitor information listed below prior to reserving your booth spaces at either event.
 
This year's Texas FFA Convention will be held in Corpus Christi, Texas on July 9-13 and the VATAT Professional Development Conference will be held in Amarillo, Texas on July 30-Aug. 1, 2012.

If you exhibit at both shows, you will receive a 10% discount on your booth space at both shows. This is indicated by the price shown in the discount column for each show. Any booth larger than 20X80 or wider than 20 feet will be sold by the square foot at a price of $4.50 a sq. ft. If a larger space is needed, contact Barney McClure at barney@vatat.org to discuss space availability and pricing. Any company choosing to display large equipment or having additional needs for set up will need to communicate these requirements prior to June 1 to ensure adequate arrangements can be made.
 
BOOTH SPACE SUPPLIES:
The above priced spaces are piped and draped and include one 6’ draped table, two chairs, a small trashcan, and a sign. You may order more equipment as necessary from the convention decorating service at a nominal cost.
 
CHOOSING A BOOTH SPACE:
You may select up to three choices for booth spaces using the included floor plan, however, you are not guaranteed any of these locations. The spaces will be assigned on a first-come, first-served basis. Please secure a location soon to have ample booth spaces to select from. Please check the FFA website under the ‘Convention’ menu or the VATAT website under the ‘Conference’ menu to determine which booths are available before submitting your form.
 
RULES AND REGULATIONS
 
DEPOSIT AND PAYMENT:
The VATAT manages the exhibits for both the State FFA Convention and VATAT Professional Development Conference. All checks will be made payable to VATAT Exhibits. A deposit of $100 per 10x10 space must be received within 7 business days after the day reservations are made or the reservation will not be honored. Final payment is due July 1, 2012, for both events. Make checks payable to VATAT Exhibits. All exhibitors must have a zero balance before they are allowed to set up.
 
CANCELLATIONS:
Unforeseen events can sometimes occur. If written notice is given by June 1, 2012, full refunds will be issued. After June 1, refunds will not be made.     
 
SALE, DISPLAY AND DISTRIBUTION OF PRODUCT:
Exhibitors may sell products from their booths with the exception of food/drink/snack/candy sales. These items may be given away in sample size portions at the State FFA Convention only. The promotion, sale or presence of any alcoholic beverage is expressly forbidden at either convention or conference. The Texas FFA and the VATAT reserve the right to determine if any product is appropriate for our venues. Any items bearing the FFA or the VATAT logo must have an agreement to use these images.
 
FOOD VENDORS AND TASTE OF TEXAS
The Taste of Texas Event will occur at the VATAT Professional Development Conference on Tuesday, July 31, from 7 - 9 a.m. and from 11 a.m. - 1 p.m. This event allows teachers to sample products offered for sale by our food product fundraisers. Other than providing mints, gum and bite size candy items during the rest of the week, this will be the only time exhibitors will provide food items in their booth. We ask those exhibitors who plans to serve food to supply the VATAT with a list of every item that is proposed to be served by May 1, 2012. Final decision on these items will be issued by June 1.
 
EXHIBIT SPACE:
Every effort will be made to accommodate each exhibitor. We realize that every situation and placement of booths is not ideal. We ask that you be aware of these limitations and realize there might not be easy solutions. Each exhibit must stay in the space provided and any sound created in your booth should not interfere with other exhibitors’ ability to interact with potential customers. The ends of your booth should not block the aisle view of exhibitors on either side of you. We also ask that any off-premises or after-hours event be advertised in a way that does not include references to alcohol.
 
CONVENTION DECORATING INFORMATION:
Each exhibitor will be sent an information packet on freight shipment, electricity, additional equipment needed and other information in May. These packets should also be available on the VATAT website.
 
HOLD HARMLESS:
Security personnel will be provided, but incidents can still happen. By participating in one or both of these events, exhibitors agree to hold harmless, indemnify and release the Texas FFA and VATAT, their officers and agents from all claims, demands, causes of action, damages, liabilities, theft, vandalism; whatsoever against the Texas FFA and/or the VATAT by reason of any transaction, occurrence or event arising from or related to the events in any way..

HOTEL RESERVATIONS
Exhibitors at the State FFA Convention in Corpus Christi have a block of 50 rooms reserved at the Headquarters hotel. These rooms will be available until sold out or March 1, 2012, when they will be released. We ask that you please do not reserve more than you need to allow more exhibitors to stay there. Please complete the FFA exhibitor housing form attached.
