The VATAT manages the exhibits for both the State FFA Convention and VATAT Professional Development Conference. All checks will be made payable to VATAT Exhibits. A deposit of $100 must be received within 30 business days after the day reservations are made or the reservation will be on hold until payment is received. Final payment is due July 1, 2019, for both events. 

Decorating      
Each exhibitor will be sent an information packet on freight shipment, electricity, additional equipment needed and other information in May. These packets should also be available on the VATAT website once finalized. 

Booth Spaces Supplies      
The spaces are piped and draped and include one 6’ draped table, two chairs, a small trashcan, and a sign. You may order more equipment as necessary from the convention decorating service at a nominal cost.

Cancellations      
Unforeseen events can sometimes occur. If written notice is given by June 1, a full refund will be issued. After June 1, refunds will not be made.

Sale, Display and Distribution of Product      
Exhibitors may sell products from their booths with the exception of food/drink/snack/candy sales. These items may be given away in sample size portions at the State FFA Convention only. The promotion, sale or presence of any alcoholic beverage is expressly forbidden at either convention or conference. The Texas FFA and the VATAT reserve the right to determine if any product is appropriate for our venues. We require that you refrain from selling items with references to alcohol or drug use, or with profanity. 

The use of all VATAT and Texas FFA trademarked graphics is prohibited unless granted official permission by the respective association, via sponsorship or other communication. 

Hold Harmless      
Security personnel will be provided, but incidents can still happen. By participating in one or both of these events, exhibitors agree to hold harmless, indemnify and release the Texas FFA and VATAT, their officers and agents from all claims, demands, causes of action, damages, liabilities, theft, vandalism; whatsoever against the Texas FFA and/or the VATAT by reason of any transaction, occurrence or event arising from or related to the events in any way.

Booth Restrictions      
Each exhibit must stay in the space provided and any sound created in your booth should not interfere with other exhibitors’ ability to interact with potential customers. The ends of your booth should not block the aisle view of exhibitors on either side of you. We also ask that any off-premises or after-hours event be advertised in a way that does not include references to alcohol.

Choosing A Booth Space      
You may select your choices for booth spaces, however, you are not guaranteed any of these locations. The spaces will be assigned on a first-come, first-served basis. Every effort will be made to accommodate each exhibitor. We realize that every situation and placement of booths is not ideal. We ask that you be aware of these limitations and realize there might not be easy solutions.

Convention Session Admission      
Each booth purchased for the Texas FFA Convention will receive two wristbands that grant admission to the all general sessions. If you wish to purchase more, you will be directed to on-site guest registration. 

Taste of Texas      
The Taste of Texas Event will occur at the VATAT Professional Development Conference on Tuesday, July 30, from  11:30 a.m. - 1 p.m. This event allows teachers to sample products offered for sale by our food product fundraisers. Vendors may provide mints, gum and bite size candy during the rest of the week, provided these foods are not a part of their fundraising products. We ask those exhibitors who plan to serve food to supply the VATAT with a list of every item that is proposed to be served by May 1, 2019. Final decision on these items will be issued by June 1. If any exhibitor wishes to use kitchen or cooler space the request must be made to barney@vatat.org. Such space is limited and not guaranteed.
